This Privacy Policy explains how FactuLingua (“we”, “us”, “our”) collects, uses, stores, and shares personal data when you use:

  • our public website and information pages;
  • our web application;
  • our desktop application;
  • our Android application; and
  • our related cloud, billing, support, and account services.

2. Personal data we collect

Depending on how you use FactuLingua, we may collect and process the following categories of personal data:

  • Account data: first name, last name, email address, account identifiers, username where applicable, password hash, account status.
  • Customer and business document data: client names, customer contact details entered by you, quotes, invoices, corrections, related document content, and associated business records you create or store in the Services.
  • Billing and subscription data: subscription status, plan identifiers, entitlement status, billing references, transaction metadata, store or provider references, renewal/cancellation events, and limited payment metadata.
  • Support and communications data: messages, emails, requests, attachments, and support history.
  • Technical, device, and usage data: IP address, browser type, operating system, app version, device identifiers, crash or diagnostic data, session data, security events, and server logs.
  • Consent and preferences data: cookie choices, consent records, language or interface preferences, and related settings.

3. Data we do not store

We do not store full payment card numbers, CVV codes, or full raw card credentials on our own servers.

4. Sources of personal data

We collect personal data:

  • directly from you when you create an account, subscribe, contact us, or use the Services;
  • from your activity within the Services;
  • from payment providers and app stores where required to verify subscriptions, purchases, renewals, cancellations, refunds, and entitlement status; and
  • from service providers or infrastructure used to operate, secure, and support the Services.

5. How we use personal data

We use personal data for the following purposes:

  • to create, manage, and secure user accounts;
  • to provide the website, web app, desktop app, Android app, and cloud services;
  • to enable creation, storage, sharing, and management of quotes, invoices, and related documents;
  • to process and verify subscriptions, purchases, and entitlement status;
  • to provide support, respond to requests, and communicate service information;
  • to maintain platform security, prevent abuse, detect fraud, and investigate incidents;
  • to keep internal logs, diagnostics, and audit records;
  • to comply with legal, tax, accounting, and regulatory obligations; and
  • to operate analytics or similar non-essential technologies only where required consent has been obtained.

6. Legal bases

Under UK data protection law, we rely on one or more of the following legal bases:

  • Contract: where processing is necessary to provide the Services, manage your account, or deliver subscription features.
  • Legal obligation: where processing is necessary for tax, accounting, legal, regulatory, or compliance duties.
  • Legitimate interests: where necessary for security, fraud prevention, service administration, infrastructure operation, record keeping, and product improvement, provided your rights do not override those interests.
  • Consent: where required for analytics cookies or other non-essential tracking technologies.

7. Payments and subscriptions

Web and Desktop: payments and subscriptions are handled by Stripe.

Android: payments and subscriptions are handled by Google Play.

We may receive and store limited billing metadata needed for billing history, entitlement checks, customer support, fraud prevention, and internal records, such as provider name, subscription status, product or plan identifiers, transaction references, renewal dates, cancellation status, and limited payment metadata.

8. Sharing of personal data

We share personal data only where reasonably necessary and proportionate, including with:

  • hosting, infrastructure, database, backup, and security providers;
  • payment and subscription providers, including Stripe and Google Play;
  • support, communications, analytics, or monitoring providers where applicable;
  • professional advisers where required for legal, tax, or compliance reasons; and
  • public authorities, regulators, courts, or law enforcement where we are legally required to do so.

We do not sell your personal data.

9. International transfers

Where personal data is transferred outside the UK, we rely on lawful transfer mechanisms where required, including adequacy regulations or other recognised safeguards.

10. Data retention

We keep personal data only for as long as reasonably necessary for the purposes described in this policy, including service delivery, support, security, fraud prevention, legal compliance, tax and accounting records, and dispute handling.

When data is no longer needed, we delete it, anonymise it, or securely isolate it where immediate deletion is not possible, such as in backups or audit archives.

13. Account deletion

You can request or perform deletion of your FactuLingua account through the application settings where this feature is available.

Deletion may be subject to lawful retention requirements, unresolved billing matters, fraud prevention, dispute handling, or other legal obligations.

14. Cookies and similar technologies

We use strictly necessary cookies and similar technologies to operate the website and core web services. Analytics or other non-essential technologies are used only where the required consent has been obtained.

14.1 Cookie categories

  • Strictly necessary: login, security, core site and service operation.
  • Preferences: language and interface settings.
  • Analytics: measurement and service improvement, only where consent is required and granted.

14.2 Consent management
