(scope, assumptions & variations)
Most trade disputes start with unclear scope, not “bad customers”. This guide gives simple quote wording you can reuse for UK service work.
Rule #1: write the scope like a checklist
Clients don’t read essays. They read bullets. Use short lines and group by phases: prep → main work → finishing → clean-up.
Example scope bullets (copy/paste)
- Protect floors and furniture where required.
- Labour and standard fixings included.
- Remove waste and leave site tidy on completion.
- Work carried out during agreed hours.
Rule #2: assumptions reduce “but I thought…”
Assumptions are not legal threats. They are clarity. Keep them short:
- Access available on the agreed date/time.
- Parking available within a reasonable distance.
- Utilities available (power/water) where needed.
Rule #3: exclusions protect you from hidden issues
Use exclusions to avoid being forced into free repairs:
- Hidden damage and additional repairs not included unless agreed as a variation.
- Third-party fees, permits or specialist reports not included.
- Asbestos or hazardous materials handling excluded unless agreed separately.
The 1-sentence variation rule (use this)
Any changes to the scope will be priced and agreed in writing before work continues.
Make your quote easy to approve
- Put the total price near the top and near the bottom.
- State validity (e.g., “Valid for 14 days”).
- State payment terms in one short paragraph.
